The Art of Letter Writing

In letter writing, it is best to address the letter to an individual. Letter writing is about making a letter personal for the reader since he / she cannot see you face to face. By using a name, you are making the reader comfortable with your letter. Letter writing is an art that can be mastered with some effort and practice.

Your letter should start with an overall summary, the first paragraph stating why the letter is relevant to the reader. It is not polite to make the reader go past the first paragraph to find out why the letter was sent to them.

The body of the letter needs to explain the reason for writing, including any relevant background and current information. Make sure the information flows logically, ensuring you are making your points effectively.

The closing of the letter is the final impression you leave with the reader. End with an action point, such as “will call you later this week to discuss this further”

The most important thing to remember when writing letters is to check them thoroughly. Even when you think it is exactly what you want, read it one more time. This unwritten rule holds true for everything you write.

Letter writing if done correctly is a very effective means of communication. Letter writing can be more effective than verbal communication, with less room for error and even less room for mistakes. Be very sure of your letter because once something is written down, it cannot be taken back!
